The Duties of the Associate Dean for Scientific Affairs

The role of the Associate Dean for Scientific Affairs is one of the pillars upon which the administration of the College of Dentistry relies. This position serves as the primary link responsible for overseeing conferences, seminars, workshops, and scientific activities within the college. Additionally, it involves monitoring the affairs of undergraduate and postgraduate students, ensuring their discipline during their university studies and after their graduation.

The responsibilities of the Office of the Associate Dean for Scientific Affairs include responding to incoming correspondence, monitoring student attendance and absences, ensuring adherence to the uniform dress code, reviewing the records of student disciplinary committees, and coordinating the preparation of examination schedules in collaboration with the scientific departments. Furthermore, the office ensures the implementation of the regulations and instructions issued by the Ministry of Higher Education and Scientific Research, as well as the directives of the Presidency of the University of Tikrit.

Duties and Authorities of the Associate Dean for Scientific Affairs:

 

  1. Organizing final exam schedules in coordination with the scientific departments of the college.
  2. Preparing weekly class schedules in collaboration with the scientific departments and based on the availability of lecture halls, ensuring the smooth conduct of postgraduate studies.
  3. Supervising the weekly lecture records to ensure coverage of all scheduled hours for each subject in accordance with applicable regulations.
  4. Monitoring postgraduate student attendance and discipline in accordance with established rules and regulations.
  5. Reviewing postgraduate admission applications upon receipt from the scientific department and consolidating them.
  6. Verifying requests for postgraduate transfers from other universities to the college’s postgraduate programs and referring them to the relevant scientific departments for review, while coordinating with related entities.
  7. Overseeing postgraduate students’ study timelines and ensuring their full-time commitment to their studies as per the applicable rules and regulations.
  8. Participating in postgraduate committee meetings when invited to discuss postgraduate matters according to departmental specializations to ensure smooth operations.
  9. Preparing a notice for postgraduate student discussions at least one week before the scheduled date, organizing committee meeting minutes, evaluating them, and submitting them to the college council.
  10. Supervising the preparation of annual statistics related to postgraduate studies at the college.
  11. Distributing and collecting exam booklets in accordance with established rules.
  12. Announcing exam results after approval by the postgraduate committees in the respective scientific departments.
  13. Providing scientific departments with grades using a specified format for committee approval.
  14. Coordinating with scientific departments regarding the submission of exam questions for both the first and second rounds, in line with undergraduate study practices.
  15. Communicating with official departments regarding all postgraduate student matters, from registration to graduation.
  16. Liaising with the university’s postgraduate department regarding all matters related to postgraduate student records.
  17. Corresponding with official entities to obtain formal approvals for attendance, after identifying names and departments by the respective scientific department.
  18. Signing annual increment and promotion forms for postgraduate staff, acting as the highest authority in this regard.
